The goal isn’t to remove the human element — it’s to remove the administrative friction that prevents you from being present with your members.


The Member Lifecycle (Automated)

Every gym member goes through the same journey. Automating each stage ensures nobody falls through the cracks.

Stage 1: Lead → Trial

Someone finds your gym on Instagram, Google Maps, or through a friend’s recommendation. They message you: “combien l’abonnement?”

Without automation: You see the message 3 hours later, respond, they ask another question, you respond tomorrow, they’ve already signed up at the gym across the street.

With automation:

  • Instant reply: “Merci pour votre intérêt! Voici nos formules: [Menu with options]. Quel type d’entraînement vous intéresse?”
  • Based on their answer, the bot shares the relevant pricing and offers a free trial class.
  • “Voulez-vous essayer un cours gratuit? Envoyez-moi le jour et l’heure qui vous conviennent.”

Stage 3: New Member Onboarding

Each message is timed, personalized with their name, and sent automatically. The member feels cared for. You spent zero time on it.

Stage 4: Retention and Renewal

  • 7 days before subscription expires: “Votre abonnement se termine le [Date]. Renouvelez maintenant pour garder votre rythme: [Link]”
  • 3 days before: “Plus que 3 jours! Renouvelez avant [Date] et bénéficiez de [loyalty offer].”
  • Day of expiry: “Votre abonnement expire aujourd’hui. Pour continuer sans interruption: [Link]”
  • 7 days after expiry (if not renewed): “On vous manque! 💪 Voici une offre spéciale pour revenir: [offer]”

Stage 5: Win-Back

Members who haven’t visited in 30+ days (tracked via check-in data or class booking):

  • “Salut [Prénom], ça fait un moment! Tout va bien? Si vous avez besoin d’ajuster votre programme, nos coachs sont là. Le prochain cours qui pourrait vous motiver: [upcoming class]”

Members who haven’t renewed after 30 days:

  • Move to a quarterly check-in. Once every 3 months: a value message (fitness tip, new class announcement, seasonal promotion). Low effort, keeps the door open.

Class Booking and Capacity Management

Group classes are a management nightmare without automation.

The problem: Coach has 15 spots. Members WhatsApp the coach directly to book. Coach loses count. 18 people show up. Three are angry they don’t have a spot. Coach spends the first 10 minutes of class sorting it out instead of coaching.

The automation:

  • WhatsApp menu: “📅 Réserver un cours → Quel cours? → [List of this week’s classes with remaining spots] → Confirmé! Vous êtes inscrit(e) au [Cours] de [Heure] avec [Coach]. Il reste X places.”
  • When capacity is reached: “Désolé, ce cours est complet! Voulez-vous vous inscrire sur la liste d’attente? Si une place se libère, vous serez le/la premier(e) informé(e).”
  • 2 hours before class: reminder to all booked members.
  • If someone cancels: first person on waitlist gets automatically notified and offered the spot.

Coach sees the final attendance list on their phone. No more counting heads. No more turning people away at the door.


Payment Tracking That Doesn’t Require a Degree in Accounting

Most Moroccan gym owners track payments in a notebook or a basic spreadsheet. This works until a member claims they paid when they didn’t, or you lose track of who’s on which plan.

Simple system:

  • Google Sheet with columns: Member Name, Plan, Start Date, End Date, Monthly Amount, Last Payment Date, Status (Active/Expired/Overdue)
  • n8n checks this sheet daily at 8am
  • If End Date is within 7 days: send renewal reminder
  • If Last Payment Date is more than 35 days old: send payment reminder
  • If Status = Overdue for 14+ days: notify gym manager via Telegram

For cash payments (common in Morocco): Reception marks the payment in the sheet when the member pays. The system handles everything else — reminders before, alerts after.


Lead Generation: Instagram → WhatsApp → Member

Instagram is where Moroccan gym discovery happens. Your Reels showing workouts, transformations, and gym atmosphere are your top-of-funnel content.

Automate the funnel:

  1. Instagram bio: WhatsApp link with pre-filled message “Je veux en savoir plus sur votre salle”
  2. Bot welcomes them, asks what they’re looking for (musculation, cours collectifs, coaching personnel)
  3. Based on answer: send relevant info + trial class offer
  4. After trial: follow-up sequence (as described above)
